I-9 Section 2 Requirement Support - Improved U.S. Passport example images and upload interfaces

When completing I-9 Section 2, an employee may present an Authorized Representative with a U.S. Passport as their List A document of choice. In order to accurately record this document, employers are expected to maintain record of the U.S. Passport Identification Page and the Barcode Page.

We want to improve the sample images, as well as the upload image CTA to better indicate the images that ought to be captured.

Requirements:

  • Update the U.S. Passport example images to those that are attached

  • Update the text of the upload interfaces to the following:

    • Front becomes Identification Page

    • Capture Front becomes Capture Identification Page

    • Back becomes Barcode Page

    • Capture Back becomes Capture Barcode Page

  • Add localizable text for List A document upload instructions- default text will read:

    • Please capture images of documents belonging to the employee you are verifying. Do not upload photos of your own documents, just the employee being verified. Use the examples below as a guide for how to properly capture front and back photos of the document.

  • If a document is in List A, the Example Document section will be located above the photo capture buttons with a title of Document Capture.

  • If the document is in List A and has both front and back photos available, those photos will be positioned above the corresponding capture buttons

  • **The required X, or green checkmark has also been removed from this UI as part of this card

E-Verify Dashboard 2.0 – Employee TNC notification

As of 2020.11.05, E-Verify will require employers to notify employees if their E-Verify case results in a Tentative Non-confirmation within 10 federal government working days of that decision being made. We added the ability to let recruiters see a "Notify-By Date" for all cases with the following case status key: PENDING_REFERRAL (this covers Tentative Non-confirmation (SSA), Tentative Non-confirmation (DHS), and Tentative Non-confirmation (DHS and SSA)

WFM - Add/Edit Applicant – Add support for enforcing selection of an applicant Home Location

Currently during add/edit applicant processes, it is not required to set a Home location. We have added a configuration which enforces home location selection during this process.

The new configuration controls whether or not to enforce home location selection:

    • Configuration location and name:  Configuration > System Settings > Workflow Manager > Require Applicant Home Location Assignment

    • Configuration subtext: When adding or editing an applicant, enforce that the applicant be assigned a Home Location.

  • If this configuration is enabled:

    • From the Add/Edit Applicant view, remove the Company Name option from the “Home Location” dropdown (this option leaves the applicant home location set to NULL)

    • Ensure the Home Location is marked as required and do not allow saving of an applicant until a selection is made

E-Verify Dashboard 2.0 – Display Case_Display_Status on E-Verify Dashboard so that TNCs can be easily found

A minor update was made to the E-Verify Dashboard 2.0 List, allowing for TNCs to be shown correctly. Currently, the table does not read from a field that would display this case status.

We want to show the recruiter the Case_Status_Display value for any given case, so that they can see at a glance any TNCs that may be present. So we have removed the existing Status column and added the following:

  • Add a new Case Status column, which is displayed after the Case Number column and reads from the Case_Status_Display field

  • Apply the following label styles to the Case Status field:

    • For Final Nonconfirmation: label-danger

    • For Closed with Eligibility of Employment Not Authorized: label-danger

    • For Employment Authorized: label-success

    • For Closed with Eligibility of Employment Authorized: label-success

  • Allow recruiters to sort by Case Status

  • Remove the Alerts column

Applicant File Uploads – Add support for on-demand disabling of ATS file syncing

There exist some files which recruiters are uploading on behalf of candidates, using the Applicant File Uploads view (WFM > Applicants > {applicant} > File Uploads). Customers would like control over whether or not files that are uploaded to an ATS so we added the ability to turn off the Sync to ATS. We added text next to the checkbox when uploading the file to read “Automatically upload this file to the ATS” which the default value will be “Checked,” meaning that the file will be uploaded by default.

Work/Education History List - Improvements for mobile readability

As a candidate viewing Work History and Education History List view on a mobile device, note that the view does not group individual entities; the only thing which visually breaks them up is an edit/delete row. To improve readability,  we have updated the entity fields for each entity grouped logically and separated from other entities which may be in the list.

Credentials 2.0 – For Bullhorn-integrated customers, enforce a maximum file upload size of 10MB

While we do not enforce a file-size limit for the images/documents attached to a credential, Bullhorn limits the size of file uploads on their system to 10MB. The upload will succeed in our software, however the enforcement of the file size limit in Bullhorn will result in the upload to Bullhorn failing.

Users can now avoid this potential failure by enforcing a configurable credential upload file-size limitation of < 10MB for customers who use Bullhorn. You can enable this in System Settings.

Form Manager UI Changes

To improve the user experience for validation when editing or creating a form, we have redesigned the way the errors are displayed and offer a better loading experience while waiting for HelloSign to complete form validation.

Fix form manager modal placement issues and make Continue Without Adding Fields button orange

We have updated  the color of the  Continue Without Adding Fields button to orange to make it more noticeable and changed the height of the modal so that, regardless of how many Fields appear in the list, the modal would never be taller than the page itself.

WFM - Applicant E-Verify – Re-enable "Other Text" and send "LateVerificationOtherReasonText"

We previously completed work that added support for showing an “Other” text field whenever a recruiter selected an E-Verify Late Verification Reason of Other.

Unfortunately, we discovered a Crimcheck bug that resulted in this request failing if this property was included in the request. The error has been resolved on their end and we can include it in the request again.

I-9 Section 2 – We added a required asterisk to the Issuing Authority field.

We have split the configurations for the Profession Reference: Require both Email and Phone Number, into two different configurations to allow for the option to  require one  or both.
